Colorado State University Research Foundation is Seeking an IP Administrator

Colorado State University Research Foundation (CSURF) is seeking an Intellectual Property (IP) Administrator to be a contributing staff member responsible for aspects of the IP management process.

CSURF is seeking an Intellectual Property (IP) Administrator to be a contributing staff member who reports to the Managing Director, IP Strategy & Management, and is responsible for aspects of the IP management process. This position receives disclosures and other patent documents, enters disclosure information into databases and performs federal reporting. Additionally, the position manages communications with outside patent counsel for assignments, small entity forms, declarations, retention letters, and billing. Performs docketing patent applications, incoming office actions, formalities, filing provisional applications, manages receipts and correspondence related to filing and prosecution. The person in this role will work closely with other IP management and licensing staff and work under general guidance with periodic review of work.  This is a full-time, permanent position in Fort Collins, CO.

Key Job Responsibilities:

  • IP Docketing: Collaborate with technology transfer staff to ensure timely and effective communication regarding IP decisions for inventions. Complete iEdison reporting, and other government reporting according to rules, regulations, requirements and timelines. Generate docket reports, perform IP docketing, and track deadlines/statuses. Review outstanding open dates in electronic docket system and follow up manage dates in accordance with outlined procedures.
  • Patent Filing: Assist attorneys with patent filing by resolving discrepancies, errors, and omissions.
  • Recordkeeping & Database Entry: Maintain IP records and databases. Process new U.S. Provisional, Continuation, Utility, Design, CIP, Divisional, and PCT files in databases. Update/review databases daily with incoming correspondence/receipts received by the USPTO and outside counsel.
  • Document Management: Coordinate incoming/outgoing file transfers. Ensure execution of formal documents, such as assignments, by appropriate parties. Manage file tracking, and update/maintain electronic and paper files.
  • Reporting: Prepare reports related to IP filings both in process and awarded as needed/requested. Coordinate patent plaques for newly issued patents and other intellectual property recognitions/awards. Manage inventor records database with changes in addresses, email, etc.
  • Outside Counsel Communications: Process incoming/outgoing correspondence with outside IP counsel and inventors. Request costs from external law firms for patent drafting, responses and other actions.
  • General Responsibilities: Perform other duties as assigned that to meet CSURF’s technology transfer objectives.

Qualifications (Knowledge/Skills/Abilities):


Required: Bachelor’s degree or paralegal certificate. Equivalent work experience in lieu of degree or certificate will be considered.



  • Minimum 2 years’ paralegal experience in technology transfer (law office, academic, or hospital.)
  • Minimum 2 years’ experience with patent docketing.
  • Extensive experience working on computers and software applications such as MS Office, databases, customer relationship management (CRM) systems, and use of the Internet.


  • 5 years’ paralegal experience working in a higher education technology transfer setting.
  • Notary certificate or willingness to obtain.

Demonstrated Experience With:

  • Familiarity with patent applications and the patent process.
  • Managing IP records and generating docket reports.
  • Performing research and keeping track of deadlines.
  • Understanding of the USPTO database and how to resolve discrepancies.
  • Experience in Salesforce or other CRM is beneficial.

Proven Skills In:

  • Effective communication in a complex, fast-paced, multi-faceted environment.
  • Building and maintaining relationships with faculty, businesses and industries.
  • Outstanding customer service performance.
  • Maintaining a high level of confidentiality and ethical behavior.

Demonstrated Knowledge Of:

  • Knowledge of Bayh-Dole Act of 1980.
  • Technical and operational knowledge related to intellectual property management and oversight.
  • Public universities.
  • Patent filing and review, both foreign and domestic.
